KPIs for Training Providers and Schools
These are the KPIs a training provider, college or private school tracks for enrolment, completion and cost per student. They show how many people enrol, stay and finish.
The KPIs to track
Enrolment conversion rate
Applicants who enrol divided by enquiries or applications received.
Course completion rate
Students who complete a course divided by students who started it.
Student retention rate
Students enrolled at the start of a period who are still enrolled at the end, divided by students at the start.
Cost per enrolment
Marketing and admissions cost divided by the number of enrolments.
Seat or class utilisation
Places filled divided by places available on courses or in classes.
Revenue per student
Total revenue divided by the number of enrolled students.
Net Promoter Score measures customer loyalty from one question: how likely are you to recommend us, on a 0 to 10 scale.
Formula and SQL query on the Net Promoter Score (NPS) page.
Cost per lead is the average marketing spend needed to generate one lead.
Formula and SQL query on the Cost per Lead (CPL) page.
Where the data usually lives
A student information or learning management system, the admissions CRM, the finance system and surveys.
Measurement mistakes to avoid
- Deferrals and transfers need a rule before completion and retention are comparable.
- Intake timing varies by programme; compare the same intake each year.
- Survey responses may come from engaged students only; check the response rate.
Questions to ask your data
You can type these as plain questions. SchemaChat turns each one into SQL against your connected database or uploaded file, runs it, and shows the SQL and the figures it used so you can check the answer before you share it. Check that the result matches how your business defines each KPI.
- What is the enrolment conversion rate by source?
- How many students dropped out in their first term?
- Which courses are under 70 percent full?
- What is cost per enrolment by campaign?
