KPIs for Dental Practices
These are the KPIs a dental practice tracks to fill the schedule, convert treatment plans and collect payment. They sit alongside clinical care and focus on how the practice runs.
The KPIs to track
Treatment acceptance rate
The value or number of treatment plans accepted divided by those presented.
Appointment no-show and late-cancellation rate
Appointments missed or cancelled at short notice divided by appointments booked.
Chair utilisation
Booked chair time divided by available chair time.
Production per clinical hour
The value of treatment performed divided by the hours worked clinically.
Collection rate
Payments collected divided by the amount billed (adjusted for write-offs).
Hygiene recall rate
Patients who return for their scheduled check-up divided by patients due for one.
New patients per month
The number of patients seen for the first time in a month.
Customer retention rate is the percentage of customers you keep over a period.
Formula and SQL query on the Customer Retention Rate page.
Where the data usually lives
A practice management system, an appointment book, patient recall lists and the accounting package.
Measurement mistakes to avoid
- Production (value of work done) is not collections (cash received); track both.
- Treatment plans split across visits should be counted once when measuring acceptance.
- Patient data is sensitive; keep analysis to what the question needs.
Questions to ask your data
You can type these as plain questions. SchemaChat turns each one into SQL against your connected database or uploaded file, runs it, and shows the SQL and the figures it used so you can check the answer before you share it. Check that the result matches how your business defines each KPI.
- What share of presented treatment plans were accepted last quarter?
- What is chair utilisation by day of the week?
- How many patients are overdue for a recall?
- What is the no-show rate by dentist?
